Coordinator, Operations

PMML is currently looking for an Operations Coordinator to join its administrative team. Under the supervision of the Director of Operations, you will be responsible for administrative tasks to ensure the smooth running of the company’s operational activities. As Operations Coordinator, you will coordinate operational projects and be called upon to work on growth projects and other ongoing initiatives, while providing general support to the executive team.

Job responsibilities

  • Assist in the management of administrative and communications tasks, such as drafting service offers, preparing presentations, updating the project management system and database, and monitoring dashboards;
  • Support the Director of Operations and the executive team with the coordination of operational projects and company growth projects.
  • Assist in the coordination of special projects in collaboration with operations, marketing, the IT team and the data team.
  • Coordinate communications and PMML broker participation in sponsored events, liaising with partners, logistics and internal teams to maximise visibility and impact of our market presence.
  • Assisting and taking responsibility for the organisation and coordination of PMML’s special events, in collaboration with the President, the executive team and the marketing team.
  • Taking charge of the operational side of onboarding new employees (including tool training).
  • Coordinating follow-up for travel and corporate events
  • Providing replacements in the event of absences from the team.
  • Other related administrative tasks

Essential qualities for success in this position:

  • Communicative dynamism, open-mindedness and the ability to adapt to different situations.
  • Ability to work independently while being an effective team player.
  • Ability to adapt quickly to changes in order to meet the diverse needs of projects.
  • Effective management of multiple responsibilities with rigorous organisation and good management of priorities.
  • Motivated to provide valuable support to diverse work teams.
  • Ability to find quick and efficient solutions to problems encountered.
  • High level of proficiency in Google Suite tools (Gmail, Google Docs, Slides, Sheets, Drive),
  • Experience with project management systems and marketing tools (such as Canva, Miro, Monday.com, Jira).
  • Mastery of automation and ChatGPT (knowledge of Google Gemini, Claude, perplexity.ai) to optimise workflows, generate content and improve process efficiency.
  • Available to work full-time in the Montreal office.
